Payroll Software Integrations 2026

The difference between a native sync and a Zapier connector is 4 hours per month of manual reconciliation. Here is which providers actually integrate cleanly with QuickBooks, Xero, 401k providers, benefits platforms, and time tracking tools.

QuickBooks Online Integration

"Integrates with QuickBooks" means different things for different providers. Native integration means payroll journal entries, tax payments, and employee costs sync automatically to QBO with no manual mapping. Via partner sync means a scheduled data transfer that requires setup and occasional maintenance. Via Zapier or connector means you build the automation yourself, which takes initial setup time and ongoing monitoring.

ProviderQBO integration typeWhat it doesManual work required
QuickBooks PayrollNative (built-in)Direct two-way sync. Payroll entries, tax deposits, employee records all sync automaticallyNone
Gusto SimpleNative API syncAutomatic journal entry sync after each payroll run. Chart of accounts mapping required once at setupMinimal
OnPayVia partner syncScheduled sync (daily or post-run). Requires mapping during setup. Works reliably for most businessesLow
PatriotVia partner syncExport CSV and import, or use their QBO connector. Less seamless than GustoLow-Medium
ADP RUNVia connectorADP General Ledger service exports to QBO format. Requires QBO account mappingMedium
RipplingNative APIRippling's QBO sync is strong. Direct API integration with good COA mappingMinimal
Square PayrollVia connectorExport to QuickBooks format. Not a live sync. Manual import required after each payrollHigh

Xero Integration

Xero is less dominant than QuickBooks in the US but is significant among tech companies, professional services firms, and businesses founded by UK or Australian owners. Fewer payroll providers have native Xero sync.

ProviderXero integrationNotes
GustoNative APIDirect integration. Journal entries sync post-payroll. Strong for Xero users.
OnPayVia partner syncWorks reliably. Requires account mapping at setup.
RipplingNativeDirect Xero sync. Strong integration quality.
QuickBooks PayrollNoneQuickBooks and Xero are competitors. No integration exists.
PatriotNoneNo Xero integration. Export to CSV only.
ADP RUNVia connectorThird-party connector available. Requires setup.
Square PayrollNoneNo Xero integration.

401k Provider Integrations

401k administration requires synchronising payroll deductions with the retirement plan. A native integration means deductions flow automatically from payroll to the 401k provider. A manual integration means you upload a contribution file after each payroll run, which adds 15-30 minutes per payroll period.

Time Tracking Integrations

For hourly employees, time tracking data must flow into payroll without manual re-entry. The cleanest solution is a payroll provider with built-in time tracking. The alternative is a connected third-party time tracking tool.

Gusto Plus

Built-in time tracking included. Employees clock in via app or web. Hours feed directly into payroll run.

Best for Gusto users wanting no third-party apps

QuickBooks with QBO Time

QuickBooks Time (formerly TSheets) is the native option. Bi-directional sync with QBO Payroll. Powerful scheduling and GPS tracking.

Best for QuickBooks users with field staff

Homebase (free tier)

Free for a single location. Integrates with Gusto, Square, OnPay. Popular for retail and restaurant.

Best free option for single-location retail/restaurant

Deputy

Scheduling and time tracking. Integrates with Gusto, QuickBooks, ADP. Stronger scheduling features than Homebase.

Best for complex scheduling needs (hospitality, healthcare)
